AAPA Mailing List Usage Policy for Constituent Organizations

The American Academy of Physician Assistants (AAPA) has adopted a policy on Constituent Organization use of AAPA mailing list data to avoid list abuse, limit high list opt-out ratios and to maintain the most comprehensive mailing list possible for AAPA and Constituent Organization (CO) marketing purposes. The CO usage guidelines are outlined below.

 
Each constituent organization may request the use of an AAPA electronic mailing list (2) times per calendar year.

The constituent organization must use the electronic Constituent Organization Mailing List & List Usage Agreement Form located on the AAPA Web site to submit a list request.

A sample mailing piece must be included for approval.

List usage must be targeted to avoid list abuse and high list opt-out ratios; therefore, constituent organizations may choose to select up to 3 states or no more than (2) Specialties, or (2) Federal Service groups for each mailing.

There is no charge to constituent organizations for the use of an AAPA mailing list
.

The AAPA mailing list database is updated on a daily basis to maintain the accuracy of the information. We receive a minimum of 800 address changes monthly. Please place your order as close as possible to the date of your mailing to minimize the number of incorrect addresses you receive, but allow a minimum of ten business days for order processing.

Any organization requesting mailing addresses must agree to the following:

(1) That the names provided are confidential and proprietary information of AAPA and may not be disclosed to a third party without express written permission of AAPA.
(2) That names provided will be used for a one-time MAILING USE only.
(3) That names will be used only for the specific mailing for which they were ordered and for no other purpose, unless specifically authorized in writing.
(4) That names will not be copied for use as a mailing list or otherwise.
(5) That names will be used within a reasonable time after receipt in order to retain the advantages of list accuracy.
(6) That AAPA is not required to provide forwarding addresses for undeliverable mail.
(7) That use of the list for telemarketing purposes is
STRICTLY PROHIBITED.
(8) That the customer agrees to furnish AAPA with a copy or sample of printed material, literature and advertising material prior to fulfillment of order made in accordance with this agreement.
(9) That AAPA retains the right to decline to rent its list to any organization at its discretion.
This agreement shall be binding upon the abovesigned, its principals and its agencies, agents, servants, licensees, subcontractors, affiliates, associates, and assignees.

The AAPA Calendar of Events is a free resource that COs can use to advertise their CME offerings. Post your CME event today! AAPA’s PA Professional magazine is another vehicle that offers ad space to promote activities. Advertising and exchange options with other medical organizations should be explored and additionally, COs should consider working collaboratively to promote each other’s activities.
