2012 Show Sponsor's Contract
It is hereby agreed that the CAVALCADE OF BANDS ASSOCIATION, INC. (herein referred to as the CAVALCADE) will provide a compliment of eight (8) judges to adjudicate the sanctioned CAVALCADE contest detailed below.

Judges fee and the CAVALCADE fee will not exceed $1825.00 for up to and including twelve (12) bands. For each band over twelve (12) bands, the fee increases to $10.00 per judge per band. Fee breakdown is $1600.00 for judges and $225.00 CAVALCADE fee.

The CBA Administration fee is payable by check to the CAVALCADE OF BANDS (CBA). All payments are to be made to the chief judge on the day of the contest. You will be notified two weeks prior to your contest by the Marching Band Administrator of the total fee for your contest along with a listing of each judge and their caption. You, as a show host, are responsible for payment to each individual judge.

The cancellation procedure as outlined in the band contract will apply. It is fully understood and agreed that if the cancellation procedure is not followed, the bands and judges will be paid in full. In the event a contest is cancelled or rescheduled, for reasons other than rain, after the signed contract has been received by the CAVALCADE, the sponsor is required to pay $250.00 to cover the expense of cancellation or rescheduling.

CAVALCADE OF BANDS CANCELLATION PROCEDURE

RESPONSIBILITY SPONSOR

Must establish an emergency phone number and have it attended until all bands have checked in. Must notify all competing bands of the emergency phone number (see below) and that it will be attended a minimum of 5 hours prior to the start of the contest.

BANDS MUST, REGARDLESS OF WEATHER, CALL THE EMERGENCY PHONE NUMBER PRIOR TO LEAVING HOM FOR CLEARANCE TO PROCEED TO THE CONTEST.

CONSEQUENCE SPONSOR
If the sponsor does not notify the bands of the emergency phone number and/or it is not attended and the band proceeds to the contest and it is rained out or otherwise cancelled, the sponsor is liable to pay the guarantee agreed upon or $250.00.

BANDS
If a representative of the band, preferably the band director, does not call prior to leaving home and he contest is rained out or otherwise cancelled, the band must assume all liability for travel expense and will not be reimbursed by the sponsor.

GENERAL
A decision, whether to hold or cancel a contest, must be made 5 hours prior to the start of the contest. Four hours should be adequate travel time for all the competing bands. Unusual travel requirements should be negotiated at least two weeks prior to the contest. Once the sponsor gives the band permission to proceed to the contest, the sponsor assumes responsibility for guarantees as previously mentioned. A call to cancel judges must be made at approximately the same time. The sponsor will be notified approximately two weeks in advance of the contest date of the head judge’s name and phone number. It will be the responsibility of the sponsor to notify the head judge of the cancellation within the prescribed time.

All controversy over payments will be decided in accordance with this procedure.
