Share account access with Sub-users

Apply controlled access levels for individual forms.
Use Admin-only items to report hidden values.
Easily manage Sub-users and access levels.

Managing access to your Formsite account just got easier with the introduction of Sub-Users. This feature allows you to share access to your account while maintaining control and security. Here are the main highlights:

  • Controlled Access Levels: Set up Sub-User accounts with specific access levels – admin, read-only, or read/write – for managing forms and viewing results.
  • Tailored Permissions: Apply permissions to individual forms, tailoring access based on needs. Highly-configurable views, notifications, and tracking facilitate smooth management without compromising performance.
  • Safety and Security: Safely share access without granting complete control over your entire account. This feature enables you to delegate tasks without relinquishing overall control.

The benefits of Sub-Users for team forms are evident:

  • Streamlined Delegation: Delegate management of Formsite activities while retaining authority over the account. For instance, different departments can create their forms, and assistants can be granted report-only permissions for gathering performance results.
  • Effortless Management: Easily manage sub-users and their access levels, ensuring a smooth workflow while maintaining the integrity and security of your Formsite account.

The Admin-only items ensure that sensitive or hidden values can be reported without compromising the overall security of your forms and account. This feature allows you to effectively manage your team’s access and enhance collaboration without compromising on security and control.

Other useful features for teams include one to many Workflow forms and sharing online form reports.

Common Questions

What is the difference between admin and limited Sub-users?

Admin Sub-users have access to the entire account except for the User menu -> Profile page. Limited Sub-users are restricted to specific forms and also cannot access Workflow pages.

Can Sub-users create or edit forms?

Sub-users with admin permissions can create and edit forms, and limited permissions Sub-users have a setting to allow creating forms. Limited Sub-users can edit forms where they have read/write permissions, but not read-only or no permissions.

Can Sub-users edit or delete results?

Sub-users with admin permissions can view, edit, and delete results for all forms. Sub-users with limited permissions can view results for permitted forms, and read/write permissions allow for editing and deleting results. Forms with no permissions and read-only permissions prevent editing and deleting results.

Can I restrict Sub-users to the Results Table only?

No, Sub-users have access to the form editor, settings, integrations, etc. For results-only access, use Results Reports instead of Sub-users.

Can I increase the number of Sub-users?

Yes, contact our support team to increase the number of Sub-users for your account.
